Lake Village Homeowners Association Administrative Assistant Work Location: 300 Clubhouse Ave., Zephyr Cove, NV 89448 Status: Full-time, Non-exempt Compensation: Hourly rate The Administrative Assistant reports to and receives all direction from the General Manager . The Administrative Assistant must respect the position of the Board of Directors but should not accept direct work instruction from Board Members unless approved by the General Manager. Job Summary Assist the General Manager with office duties as assigned, including (but not limited to) computer work, phone calls, filing, record keeping, greeting homeowners and guests, monitoring recreational areas, and distributing information per Lake Village Governing Documents. Maintain employee files in compliance with local, state, and federal regulations, and per the governing documents established by the Lake Village HOA Board of Directors. Essential Functions • Maintain and update information on the front counter. • Maintain homeowner database and send document packages to new owners. • Greet homeowners and guests entering the Lake Village office. • Distribute temporary and permanent parking passes and recreation passes; ensure guests and visitors are aware of Lake Village rules and regulations. • Answer phones, take messages, check communications (email, mail, website, fax) regularly, and respond appropriately. • Process outgoing mail. • Assist with bank deposits and check mail as needed. • Assist the General Manager with opening, reviewing, and initialing all bank statements. • Perform payroll-related duties and assist with reviewing time cards. • Manage all aspects of the vendor RFP process under the guidance of the General Manager. • Produce the monthly Treasurer’s report in support of the General Manager and the Board. • Maintain/update short-term rental owner information, including renewals and Board approvals. • Issue keys as authorized and maintain/update the key log. • Attend Board of Directors meetings, prepare meeting minutes, and maintain agenda/minute binders. • Obtain workman’s compensation certificates, unconditional waivers, and issue annual 1099s and 1096. • Maintain homeowner files and correspondence. • Maintain confidentiality of all records and documents. • Maintain the Lake Village website (uploading documents, events, updates, etc.). • Approve recreation rentals and collect fees when necessary. • Monitor and reconcile community amenities income monthly. • Assist the Architectural Committee with submissions, applications, and communications. • Enforce swimming pool, hot tub, and sauna regulations and monitor activities. • Distribute sports equipment (tennis/pickleball rackets, balls, ping pong paddles). • Maintain office supply inventory. • Assist in organizing painting, asphalt, and slurry coat projects. • Assist with TRPA Best Management Practices (BMP) program. • Assist with HR duties, employee meetings, insurance, and workman’s compensation as needed. • Coordinate with local agencies (Health Department, Fire Department, OSHA, etc.) to ensure compliance. • Assist with vehicle registration, DOT, DMV, and NV IFTA filings. • Type letters and memos as directed by the General Manager. • Perform other duties as assigned.
