Department: Advanced Power Systems Research Center Summary The Advanced Power Systems Research Center requires a Department Coordinator to work independently with a focus on administrative and business operations. The ideal candidate will provide comprehensive professional support to center staff. The department coordinator will support the daily operations of the administrative functions of the center; work independently to manage workflow and assigned tasks; and work with leadership to identify and pursue ways to improve efficiency and effectiveness of department reporting and project delivery. 2. Assist with the financial management of center and project indexes. 3. Lead departmental payroll including department time entry, oversee preparation of EPAFs, oversee reallocations, and overrides. Support coordination with university Payroll, Accounting Services, and Sponsored Programs offices. 4. Coordinate processing of fund transfers among departmental general fund (Axxxx), non-research (Dxxxx), external (Exxxx), and Michigan Tech Fund accounts. Coordinate authorization and create checks requests and inter-account bills. 5. Manage and create workflow for temporary staff appointment/reappointments and student hires. 6. Utilize specific computing systems including BANNER, WebFocus, Perceptive Content, and ASPIRE to track, access, or report department financial and administrative data. With department leadership, identify and prepare routine and ad hoc reports that assist in the operation and reporting needs of the department. 7. Analyze information and independently resolve administrative problems; resolve and prepare routing and ad hoc reports that assist in the operation and reporting needs of the center. 8. Lead the planning and execution of all internal department functions including retreats, receptions, and social gatherings. Support the planning and execution of external center functions and tours. 9. Work with key center personnel to effectively implement process improvements to operational procedures. 10. Serve as the network liaison with peer administrative staff in other departments towards maintaining a productive support network and identification of best practices and continuous improvement strategies. 11. Required Education, Certifications, Licensures Bachelor's degree in business or equivalent field or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired. Required Experience * Ability to obtain a U.S. Department of Defense security clearance, which requires United States citizenship. May not possess dual citizenship. Minimum of one year of administrative experience within a complex environment. * Relevant administrative experience organizing and coordinating multiple tasks and activities related to payroll, employee processing, accounting, and reporting. * Proficiency using a computer and advanced features of standard office software, such as the MSOffice and Adobe suites, and web-based productivity resources, such as Google Apps. Assists the Head Coach in the distribution and collection of documentation to fulfill state and school district requirements concerning physical examination, parental consent, insurance requirements and any other matters dealing with athletic eligibility. Assists the Head Coach in distributing team rules, training rules and any other unique regulations of the sport to each athlete who is considered a participant. Provides for proper supervision of athletes at all practices, games and while traveling. Directs student managers and statisticians on respective teams. Completes paperwork, if necessary, on athletic injuries utilizing district approved forms and submits them to the athletic office on the next school day of attendance. Is accountable to the Head Coach for all equipment issued to his/her team. Aids in the distribution, collection and storage of equipment. Assists the Head Coach in the collection of the cost of any equipment lost or not returned. Submits to the Head Coach an annual end-of-season inventory as part of his/her final report. Recommends to the Head Coach budgetary items for the next season in his/her area of the program. Permits athletes to only be in authorized areas of the building at the appropriate times. Examines locker rooms before and after practices and games, checking the condition of the facility. Reports problematic conditions to the Head Coach and/or the Athletic Director in writing. Assists the Head Coach in carrying out his/her responsibilities. Instructs team members as to NFHS, IHSA and SSC rules and regulations of the sport and teaches fundamentals as outlined by the Head Coach. Maintains a record for team statistics and requirements for end-of-season awards for both Head Coach and Athletic Director for his/her team. Works within the basic framework and philosophy of the Head Coach of that sport. Attends all staff meetings and carries out scouting assignments as outlined by the Head Coach. Arrives early enough before practice, contests, and meetings to adequately prepare and remains long enough afterwards to help players with problems or to become involved in staff discussions. Helps in the planning and implementation of in-season (only) conditioning and weightlifting programs. Never criticizes, admonishes or argues with head coach or any staff member in the presence of players or parents. Completes online concussion awareness training, first aid training, Automated External Defibrillator training, prior to the start of the season. Biannual training on anaphylactic reactions and asthma management. Base pay range $65,000.00/yr - $70,000.00/yr JOB TITLE Operations Manager STATUS Full-Time, Exempt Position Summary The Operations Manager will oversee day-to-day activities to ensure efficient and effective operations, managing production, quality control, inventory, and resource allocation, while collaborating with other departments to achieve organizational goals. Minimum Qualifications A minimum of a bachelor’s degree from an accredited university/college. At least two years of facility/operation management experience required. Strong analytical and problem-solving skills with a genuine passion for operational excellence. Detail oriented, organized, able to multi-task and work in a fast-paced environment. Must possess excellent customer service and writing skills. Flexible work schedule to meet clinic hours; reliable transportation to access other clinic sites as assigned. Responsibilities Continuously identify areas for improvement and implement strategies to streamline processes, reduce costs, and enhance productivity for IT and Facility Operations. Work closely with the CFO and CHRO/Legal Counsel to comply with procurement policy for bids and vendor selections. Serve on the Risk Management and Compliance Committee to implement the best practices for customer safety and employee satisfaction with city, state, and federal regulations (OSHA, PCMH, HUD). Annually review and revise, as necessary, written policies and procedures for IT and Facility Operations. Ensure operational services meet quality standards involving the supply chain, including limited sourcing of materials, coordinating logistics, and ensuring timely delivery for IT/Maintenance/Facility repairs, replenishment of supplies, and maintaining updated tracking and inventory. Lead the Safety Committee Meeting and the scheduling cadence for safety drills. Schedule annual HIPAA Risk Assessments with third-party vendors and work closely with the vendors and key team members to implement correction action plans and monthly quality assurance metrics. Work closely with the Facility Coordinator and IT Specialist to track inventory for equipment and supplies. Meet with third-party IT Vendor monthly for IT Reporting and Dashboard. Serve on internal committees (Operations & CQI) to provide updates on KPIs or compliance initiatives. Meet bi-weekly with Clinical Managers for site visit walk-throughs and complete a checklist for facility needs and compliance with OSHA, OSV, and other federal regulations. Maintain a spreadsheet of vendor agreements, MBE, and types of services. Work with the Facility Coordinator to schedule annual maintenance reviews for major equipment, including elevators, cosmetic fencing, boilers, HVAC, heating/cooling, electrical equipment, and machinery. Ensure all company vehicle fleets receive routine checkups, repairs, and cleanings. Monitor the vending, cleaning, and other third-party vendors to ensure compliance with contractual requirements. Ensures Facilities Team complies with cadence for winterization, exterior/interior cleaning, lawn care, and other cosmetic cleaning (seasonal maintenance). Collaborate with care team members to address patient care issues and resolve outstanding items related to facilities and IT. Re-engage no-show patients through outreach to ensure they return to care. Complete and track deep dive workflow work repairs, transportation, and technology repairs. Meet departmental goals, attend meetings, and maintain compliance with policies and procedures. All other duties as assigned.
