Job Description The Department of Public Health (DPH) Tewksbury Hospital is currently hiring for the position of Clerk III – Facilities Maintenance Department. The hospital provides a broad treatment of care and comfort to adults with medical and/or mental illnesses. The Facilities Maintenance Clerk III works under the direction of the Facilities Program Coordinator and the Director of Facilities. The incumbent performs all clerical duties necessary for the successful operation of the Facility’s Maintenance Department, as well as operate and maintain Tewksbury Hospital’s capital asset management information system (CAMIS) required by the Commonwealth and train all users and departments on all CAMIS procedures and updates. Please Note : This position is 37.5 hours per week; Monday through Friday, from 7:30 A.M. – 3:30 P.M. Duties and Responsibilities (list not all inclusive):
Perform all clerical duties needed for the successful operation of the facilities capital asset management information system (CAMIS). Perform/arrange training for the operation of the CAMIS system for all involved staff and departments throughout the facility. Receive all facility maintenance related phone calls, faxed messages, radio calls, e-mails or written maintenance requests from units, departments and foreman for the Saunder’s Hospital Building. Document, prioritize and distribute requests for repairs and other related maintenance activities. Generate computer based (CAMIS) work orders to track work from initial receipt to operational closure. Generate Preventative Maintenance, Inspection, and Project work orders for all trade’s contractors and personnel. Enter, sort and retrieve data as well as generate spreadsheets from CAMIS database. Maintain and organize files of purchase orders for all trades and vendor services. Responsible for monthly beeper calendar that is submitted to the Communication Department (this is the on-call list for the plumbers, electrical, carpentry and locksmith). Perform other facility-related tasks including, but not limited to, inventory control, and organizing CAD files. Communicate with contractors and vendors as required. Perform clerical duties including, but not limited to, typing, filing, sorting, proofreading, composing documents, folders, reports, spreadsheets, and minutes/meeting notes. Perform other related duties as requested.
