Job Description
Fast-paced industrial paint company seeks a reliable Administrative Assistant to assist executives and office staff. The ideal candidate is energetic and has a positive attitude. To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance. Proficiency in Microsoft Office (Outlook, Excel, Word) is required. We are looking for a responsible, detail-oriented, and trustworthy individual to join our growing team. Must be able to multi-task and will need excellent organizational skills. Experience in Vista a plus. Responsibilities: Handle incoming and outgoing mail Handle insurance-related matters such as Workers Comp & General Liability, Auto Insurance, etc. Manage Company Certifications and Qualifications in a timely manner Assist with Quarterly IFTA and HUT filings Track and update all vehicle registrations and company certifications Act as the point of contact among executives, employees, clients, and other external partners Manage information flow in a timely and accurate manner Manage executives’ calendars and set up meetings Make travel and accommodation arrangements Keep up with office supply inventory Format information for internal and external communication – memos, emails, presentations, reports Take minutes during meetings Screen and direct phone calls and distribute correspondence Organize and maintain the office filing system Other Ad Hoc projects Required Qualifications: General Construction knowledge preferred Outstanding organizational and time management skills Excellent Microsoft Office knowledge Familiarity with office gadgets and applications (e.g. e-calendars and copy machines) Excellent verbal and written communication skills Discretion and confidentiality High School degree Job Type: Full-time Pay: $60,000.00 - $90,000.00 per year Benefits: Health insurance Paid time off Schedule: 8 hour shift Monday to Friday Education: High school or equivalent (Required) Experience: Administrative: 3 years (Required) Microsoft Office: 1 year (Required) License/Certification: Certified Notary Public (Preferred) Seniority Level: Mid-Senior level Employment Type: Full-time Industries: Construction We are an Affirmative Action/Equal Opportunity Employer. #J-18808-Ljbffr
