Salary range - $60,000 to $65,000

Location - Ft Huachuca, AZ
SUMMARY:
This position serves as the Executive Administrative Assistant for the Directorate of Training (DOT) Facilities Manager on Ft Huachuca, AZ. This position is responsible for a wide variety of administrative and clerically-oriented services in support of the management offices including but not limited to, supporting the management of facilities under DoT.

Associates degree or Technical Certificate (2 additional year of applicable experience may be substituted in lieu of degree) Completion of the Ft. Huachuca Facility Manager and Additional Duty Safety Officer (ADSO) training within the first 6 months. 5 years' experience in the following:
Scheduling and calendar management Travel Administration Phone answering Draft formal document for review SharePoint Data Entry Amy Fundamentals of Supply Experience utiizing USAICOE's personnel tracking databases
JOB DUTIES:
The contract shall provide the following administrative support, which include, but not limited to:
Answer phones, take messages, and schedule appointment requests for the Commandant, the Director of Training (DoT) and the Deputy Director. Manage suspense for read-ahead, information papers, executive summaries, reports, etc. Distribute and disseminate incoming and outgoing mail, travel orders and vouchers. Provide list of supplies required for DOT front office to TDID GPC holder, Provide correspondence for approval to the Training & Doctrine Integration Directorate administrative officer and is ready for Commandant, Director and/or Deputy Director signature. Receives impromptu and official visitors, including foreign visitors, and facilitates their visits by directing them to the most appropriate staff member based on the purpose of the visit. Arranges meetings for the Commandant, Director, Deputy Director, and Executive Officer with Directorate personnel and external offices, to include managing conference room schedules, and preparing necessary conference material. Makes travel arrangements for DoT leadership within the DTS system. Perform routine building inspections, provide monitoring of repairs, deficiencies and corrective actions. Arrange escorts for repairs when needed, and support USAICoE's effort with energy, water and waste oversight per Ft. Huachuca Facility Management SOP. Attend DPW Quarterly Work Order Assessment Customer Meeting and report findings to Facilities Manager (FM). Use Facility Maintenance Checklist (Appendix E) to conduct inspections of the facilities and grounds quarterly or more frequently, if needed. Provide a copy to the FM when complete. Provide a Facility Maintenance Checklist and ISR-I to the FM two (2) weeks prior to annual inspection. Provide support for the inspection, accompanying thevFM and the Tenant Managers. The FM will consolidate the ISR. Ensure timely repairs to prevent major repairs from being required later (proactive approach). Prepare self-help requests for repairs or project supplies for the FM's signature. Prepare service orders or repair beyond the capabilities of the unit-level personnel for the FM's signature. Ensure safe work practices are followed and report safety issues in accordance with the minimum safety reporting to the FM. Keep a log by Fiscal Year (FY) of all submitted service and work orders over a ten year period. Verify facility assignments and terminations are processed correctly. Notify FM of facility occupants of poor housekeeping and suggest corrective actions. Assist the FM in energy, water and waste oversight.
