Seniority Level: Mid to Senior Level Employment Type: Full Time Salary: $100,000.00 to $115,000.00 a year. Exact compensation may vary based on experience, skills, knowledge, and education. Position Summary The Note & Loan Documentation Manager primary function and responsibility is to oversee the Note Department’s daily processing routine to ensure compliance with banking regulations and audit requests.
Supervisory responsibilities
Directly supervises two employees within the Note & Loan Processing department.
Essential Job Functions and Responsibilities
(Duties not limited to those provided here):
Pull information for internal and outside audit and communicate with auditor Answer all loan related questions from internal department, such as relationship managers and credit analysts Review daily FIS report including but not limited to past due report, file maintenance report, posted transaction report and exception report etc. Review and approve all outgoing wires for loan funding Assess weekly property tax report, including LERETA Review escrow impound accounts and re-generate new disclosure (if needed) Complete daily call backs for all CRE loans, PRM loans, and renewal Complete semi-annual tax escrow disbursement (March and November) Responsible for completing the monthly & quarterly GL certification Complete Quarterly certification of safe keeping collateral Order pink slip – e-title hard copy Review all new/renewal/extension documents Year-end report processing – Loan interest paid notice, 1098 & 1099 form Re-generate 1098 report (if needed) Complete Loan maintenance – address changes, payment changes and miscellaneous Process Notice of Default and Foreclosure Review loan reserve and UCC follow up report Payoff, payment processing, construction loan disbursement and balancing Conduct wire transfer, invoice processing, UCC search and filing Loan Document preparation including lender’s instruction Boarding all commercial loans and PRM loans Manage Note Department staff, including duties and responsibilities and workflow Prepare annual performance reviews and approve timecards for all direct reports Cross train Note Department staff for performance improvement Comply with and adhere to all applicable regulatory requirements, policies, and procedures. Additional duties as assigned by Department Head.
Qualifications:
Bachelor's degree or a related field preferred. At least 10 years of related experience required. At least 2 years of supervisory experience in a banking environment, including responsibilities such as employee reviews, scheduling, and coaching. Proficiency in Microsoft Office (Word and Excel) and familiarity with banking-related software, with a preference for experience using the FIS system and Laserpro Familiarity in bank core system conversion preferred Strong written and oral communication skills, with the ability to engage tactfully and effectively with employees, customers, and management. Fluency in a second language preferred but not required
