Environment of Care Secretary POSITION SUMMARY • Provides a high-level administrative support for the Director • Conducts research, prepares statistical reports, and handles information requests • Performs clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings OVERVIEW • The evaluation is to assure individual performance, departmental goals and organizational goals are aligned. It is designed to support communication between the manager and the employee. Employee perception of their own performance is very important. To maximize the benefit of this process, both the manager and the employee participate in the evaluation process. QUALIFICATIONS A. Knowledge, Skills and Abilities • Excellent customer service skills. • Reads and understands the English language. • Ability to think critically and analytically with little or no supervision • Ability to work effectively in situations of high stress and conflict and communicate goals and outcomes. • Ability to process information and prioritize • Possesses exceptional verbal and written communication skills • Possesses independent work habits, is self-reliant and self-directed • Ability to learn, adapt, and change as required by the job functions • Ability to maintain absolute confidentiality of material and information accessed and reviewed • Basic computer literacy • Ability to move freely, reach, bend, and complete light lifting • Ability to use good body mechanics while performing daily job functions and ability to follow specific OSHA guidelines • Ability to maintain attendance to meet standard job practices B. Education • High school diploma required; Associate's degree in Business or equivalent work experience preferred C. Licensure • None D. Experience • 2 years relevant experience E. JOB SPECIFIC DUTIES AND PERFORMANCE STANDARDS • Below are those tasks, duties, and responsibilities that comprise the means of accomplishing the position’s purpose and objectives. These are critical or fundamental to the performance of the position. They are the major functions for which the person in the position is held accountable. Following are the essential functions of the position, along with the corresponding performance standards. o Coordinates schedules and takes initiative to proactively resolve conflicts. o Represents the office in a professional and astute fashion. o Acts as a liaison between staff and Senior Administration. o Completes specific work projects as relative to administrative operations. o Understands instruction prior to beginning project and asks questions up front as observed in project outcome. o Uses good judgment in pulling project together so that results conclude all questions leading to the project. o Reports are legible, logical in sequence and thorough. o Special projects are organized, with steps defined to be taken and then implemented. o Composes and transcribes correspondence, memos and reports as instructed. o Maintains dictation that is accurate, leading to error-free documents. o Secretary to Director of Plant Engineering. o Using word processing equipment, assembles materials for reports and other related projects, and designs appropriate formats. o Performs typing and work processing functions for the department. Turns handwritten material into final typed correspondence. o Schedules and keeps records of appointments for individuals within the department. o Maintains files of administrative correspondence. o Receives by telephone, requests for emergency engineering work from other departments, and advises appropriate engineering personnel, by radio, to respond. Enters work order information into computer and tracks them to completion. o Keeps documentation on all Engineering personnel time/attendance and education records. Prepares payroll accordingly. o Secretary for (EOC) Environment of Care. Prepares, assembles, back-up information and distributes monthly list. Prepares minutes of meeting in appropriate format within 10 working days of the meeting. o Performs a variety of other clerical duties. o Maintains JCAHO documentation for departmental compliance. o Produces typed correspondence in final form. o Proofreads typed material before presenting to drafter to ensure spelling, punctuation and grammar are correct. o Provides reception services for visitors and directs them to appropriate personnel. o Answers five telephone line; directs calls to appropriate personnel or takes messages so telephone calls can be returned. o Demonstrates ability and knowledge to carry out daily tasks. o Is familiar with all tools used to perform daily duties. o Follows all purchasing procedures and maintains accurate purchase order records. EDUCATION AND COMPETENCY • Attends all mandatory and department-specific education and training programs as required. • Attends all required education and training and can describe his/her responsibilities related to department safety and specific job related hazards. • Has met all required competencies for the evaluation period as evidenced by job specific competency evaluations...
