Capital Area Pediatrics (CAP) has been providing exceptional pediatric care to families across Northern Virginia for generations. With five locations in the region, we are dedicated to offering accessible, comprehensive healthcare and creating a positive experience for both patients and staff. We are looking for a Clinical Site Supervisor to join our dynamic leadership team at our Ashburn location. As a Clinical Site Supervisor, you will play a crucial role in ensuring smooth, efficient operations at your designated site. Working closely with the Practice Administrator, you’ll oversee daily activities, manage patient and staff workflows, and contribute to CAP’s high standards of patient care and employee satisfaction. About the Role
Leadership & Planning
Manage daily patient and staff schedules, ensuring efficiency and effectiveness. Keep the Practice Administrator informed with regular updates and communication. Foster a positive, team-oriented environment by demonstrating excellent interpersonal skills. Provide coverage for staff as needed, addressing call-outs, staffing issues, and other operational needs. Participate in the Weekend Leader on Duty rotation, acting as the primary point of contact for problem-solving and troubleshooting during weekend shifts.
Operations & Efficiency
Oversee site operations to ensure smooth patient care and staff productivity. Lead daily checklists and operational reviews to ensure the site is fully stocked, prepared, and running optimally. Troubleshoot and resolve technical issues with systems and equipment to minimize disruptions. Uphold CAP policies, protocols, and regulations, ensuring consistency across the practice.
People Management & Development
Partner with the Practice Administrator in staff recruitment, training, performance reviews, and disciplinary actions. Monitor staff attendance and timekeeping, ensuring compliance with company policies. Foster a positive workplace culture by modeling leadership and boosting staff morale. Actively contribute to training and coaching efforts to develop team skills and professional growth.
Patient Experience & Satisfaction
Ensure smooth patient and staff workflows to enhance patient satisfaction and overall clinic efficiency. Address and resolve patient concerns, escalating issues as needed to maintain a high level of service.
Financial & Inventory Management
Support the Practice Administrator in overseeing clinical supply and vaccine inventories, ensuring proper stock levels. Assist with invoicing audits and collaborate with the billing team to resolve revenue-impacting issues.
Required Knowledge, Skills, and Abilities
Exceptional communication skills, both verbal and written. Proficiency in Microsoft Office and familiarity with practice management software. Highly proficient user of EMR Systems - Athena strongly preferred. Strong time-management skills and the ability to juggle multiple tasks in a fast-paced environment. Ability to troubleshoot and manage basic office equipment and technical systems. Customer service-oriented with the ability to remain calm and solution-focused under pressure. Strong organizational skills, attention to detail, and discretion in handling confidential medical information. Ability to work independently and collaboratively with a team.
Additional Requirements
At least one (1) year of healthcare practice leadership. Direct leadership of both clinical and non-clinical staff is preferred. High school diploma or equivalent required; a degree in Health Administration or related field is preferred. Availability to participate in the weekend leadership on-call rotation.
