Summary: The Sales Administrative Coordinator provides essential support to the sales team. This role combines client coordination, sales support, project administration, and general administrative tasks, ensuring smooth sales operations. The Sales Administrative Coordinator manages client communication, assists with project coordination, and supports accounts receivable efforts by handling client follow-ups for outstanding invoices. Key Responsibilities:
Sales Support
Prepare, organize, and maintain sales proposals, contracts, and quotations, ensuring they meet client needs and company standards. Track and report on sales metrics, such as lead conversion rates, client satisfaction, and revenue targets, using CRM software. Schedule and organize sales meetings, client site visits, and project estimate appointments. Audit sales orders and contracts to ensure accuracy.
Client Coordination
Coordinate communication between clients and the sales or operations team to ensure all client questions, requests, and concerns are addressed promptly. Facilitate the client onboarding process, providing welcome materials, project timelines, and seasonal care tips.
Administrative Support
Maintain and organize client records, project files, and sales documents, both digital and physical, ensuring information is accessible and up-to-date. Provide administrative support for invoicing, billing, and accounts receivable as needed. Support the scheduling, coordination, and documentation of meetings and team activities.
Accounts Receivable Support
Assist Senior CAM with invoicing and follow-up on unpaid accounts, contacting clients to remind them of outstanding balances. Maintain records of accounts receivable activities, noting client interactions, payment status, and follow-up requirements for Senior CAM Collaborate with the accounting department to resolve any billing issues and ensure prompt payment from clients.
Project Administration
Prepare reports on sales team performance, monthly revenue, and client feedback to present to management. Track project milestones and support with documentation to keep both the sales and operations teams informed.
Qualifications:
E xperience : 2+ years in sales support, administrative roles, or project coordination, ideally within landscaping, construction, or a related industry. Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). NetSuite experience strongly preferred. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Ability to work independently and as part of a team. Attention to detail and problem-solving skills.
Working Conditions:
Primarily office-based with occasional visits to project sites. Project site visits may be either indoors or outdoors in areas that are dusty, dirty, in the rain and muddy. Full-time position with standard office hours; may require occasional evening or weekends when hosting events.
