Job Description
Job Type Full-time Description Responsibilities of the position include:
A. Accounts Payable (AP)
Reconciliation of charges and accurate data entry into accounting system Processing of expense reports Assembly and mailing of outbound checks and remittance documents Organizing, scanning and filing AP documents Ad-hoc report and document preparation
B. Accounts Receivable (AR)
Weekly billable hour timesheet collection, tracking, and review Cross-departmental collaboration to provide consulting project hours reports as requested Processing of timesheet edits as directed by management or project leads Assist with the preparation and distribution of monthly billing Implement new clients and projects on QuickBooks and HubSpot via data entry of: organization and project information, transactions (i.e. invoices), and distribution of invoices to clients Daily review, reporting, and data entry of online transactions Receiving and posting transactions for checks received, scanning and filing checks, preparing bank deposit Ad-hoc report and document preparation
C. Other accounting support
Distribute 1099 monthly payroll summaries to consultants Assist with month, quarter, or year end activities and closing as needed Scanning and filing documents. Ad-hoc report and document preparation. Other duties as assigned
D. Assisting with operations projects as needed (Tech, Finance, Admin, HR, Events)
Requirements A. Very strong attention to detail, with the ability to maintain an accurate and thorough level of data entry when entering a high volume of transactions B. Very strong organizational and administrative management skills, including the ability to track multiple tasks and multiple projects concurrently C. At least one formal accounting course (i.e. Fundamental Accounting), or 3+ years of bookkeeping experience D. Ability to prioritize and complete multiple tasks in a timely fashion E. Demonstrated proficiency with and working knowledge of common computer applications, and online software/platforms with an emphasis on the following: QuickBooks, MS365 (Outlook, Excel, PowerPoint, Word), HubSpot, Stripe F. Good communication skills, both written and verbal, with the ability to work cooperatively in person, by telephone with clients and staff, and in writing via e-mail and letters. G. Ability to work in both a team and independent environment
H. A sense of propriety, with the ability to work on highly confidential projects without disclosing their content outside of and/or within the organization. I. Ability to drive a car, and must have a valid driver's license, and to conduct out-of-office tasks and errands (parcel delivery, airport deliveries, etc.) on behalf of the company/company properties.
J. Attention to detail/visual acuity to perform activities such as preparing and analyzing data, viewing a computer terminal, and extensive reading. K. Ability to stand and sit for long periods of time, as well as bending and lifting from a sitting or standing position. L. Ability to lift up to 35 pounds. M. Ability to travel unattended on an as needed basis. N. Ability to use personal credit card for occasional purchases on behalf of the organization. Salary Description $40,000-$45,000
