Job Description
Under general supervision, performs a variety of assigned technical accounting and office administrative duties requiring a comprehensive working knowledge of assigned accounting functions, accuracy and attention to detail and a thorough knowledge of governmental financial record-keeping methods; prepares trial balances; assembles and compiles data used in the preparation of financial reports and/or analysis; maintains accounting records for assigned funds, programs, or activities involving multiple transactions; prepares financial statements, reconciliations, and statistical reports; resolves difficult and unusual problems; reviews reports from other agencies, researches discrepancies and takes action to ensure that they are reconciled with County records; prepares monthly adjusting and year-end closing journal entries; interprets and explains County funding policies and procedures relative to assigned areas; disburses funds after determining conformance to County regulations; composes correspondence or reports of a technical nature regarding financial matters; and performs other office clerical duties in support of assigned area and department. Education and Experience: Associates Degree in Accounting, Business, Office Management, or related field and two years of progressively responsible financial record-keeping, bookkeeping experience, office administrative management, or support functions for a department or medium to large size program, and records management and retention; OR an equivalent combination of education and experience. Required Licenses or Certifications: Valid NM Driver's License Key Responsibilities: Prepares and verifies amounts and codes for various standard accounting entries; accepts and processes payments to accounts; performs data input; sorts documents and posts to proper accounts; reconciles and prepares deposits (including cash) from daily work; prepares check requests; prepares and processes payroll; balances and reconciles accounts; and makes necessary corrections. Ensures the accuracy and preparation of accounts payables, purchases orders, requisitions, warrants, payroll adjustments; invoices for third party vendors; resolves internal and external customer problems and concerns; disburses employee paychecks; reviews system reports for accuracy, and maintains a variety of records including logs, forms, and other records needed to maintain a proper audit trail. Prepares correspondence, memos, reports and other related material to the assigned area; provides overall clerical and administrative support to the Director and others as assigned; may perform other duties such as copying, sorting, stamping, opening and distributing incoming mail, maintaining files of all forms and essential material; assists the general public, customers, and employees in person, by telephone and/or e-mail answering inquiries related to department and assigned area services, policies, regulations and records; answer phones and takes messages or responds to questions as needed; schedules appointments and meetings for the Director; and assists in developing operating budgets. Maintain files such as personnel files within assigned area; prepares all payroll change notices regarding all personnel activity, such as hiring and dismissal of personnel; and prepares and completes any quarterly shift change payroll notices. Prepares all orders for office supplies and equipment, forms, cleaning supplies, and other related supplies for assigned area; drafts and provides administrative oversight to contracts and oversees the administration of office equipment lease renewals; and prepares comparative price quotations for equipment and supplies.
When assigned to the Community Services Department: Assists in county budget preparation; prepares mandated monthly reports; assists in preparing legislative requests, monthly reports and reimbursements for the senior and volunteer programs. Attends and assists with preparation of meetings as needed.
