Outten & Golden LLP is seeking a Professional Development Specialist in our New York office. The successful candidate will exhibit a positive, proactive attitude, along with the ability to communicate and collaborate effectively with a range of people. The Professional Development Specialist will play a significant role in enhancing the Firm’s PD functions—with a specific focus on coordinating, facilitating and maintaining activities of professional development programs for attorneys, paralegals and staff as well as CLE compliance and accreditation—as a member of the Firm’s People team reporting directly to the Professional Development Manager. Responsibilities: Partner with the Professional Development Manager on CLE initiatives and training coordination. Provide general assistance with the mid-year and annual attorney review processes. Monitor and maintain records necessary for firm CLE accreditation as well as individual Attorney CLE compliance and the attorney registration process across multiple jurisdictions, with detailed knowledge of New York and California CLE Rules and requirements. Respond to requests regarding CLE compliance status as well as extension and modification requests. Provide support and guidance to attorneys seeking external courses to help satisfy CLE requirements. Track and update Attorney Admissions. Assist with approval and expense tracking for attorney conference attendance as well as bar association and other professional organization dues; track and facilitate approval of PD department–related expenses (e.g., PLI, City Bar, external consultant invoices). Track paralegal completion of Litigation Operations training curriculum courses as well as compliance with California’s paralegal CLE requirements. Assist with curriculum planning and scheduling and logistics for internal training and provide day-of support. Attend PD department meetings as well as other administrative planning meetings and provide related notes to facilitate appropriate coordination. Update the Professional Development Intranet page with training resources. Respond actively, thoroughly, and courteously to internal and external requests. Coordinate and schedule staff new hire check-ins. Assist with new attorney onboarding and departing attorneys as related to bar licensure, CLE records, and compliance. Assist with organizing Associate Staffing reports and other relevant data. Provide support for additional projects as needed. Qualifications and Experience:
Education and Experience: A minimum of 2-3 years of relevant experience in a law firm environment. Experience with viAderant, Bamboo, and/or Survey Monkey a plus. Confidentiality: Able to adhere to Firm policies regarding the protection of confidential data and demonstrate sensitivity to (and good judgment in connection with) confidential attorney, personnel, and Firm matters. Communication and Attention to Detail: You express yourself clearly and concisely, always highlighting the most important information. You proactively communicate the status of your work and share updates with colleagues when necessary. Flexibility and Organization: You are versatile and able to respond quickly and positively to shifting demands and opportunities. You are comfortable in an environment where your responsibilities may vary from day to day. You demonstrate a “no job too big, no job too small” attitude, and take a collaborative, team-focused approach to rejuggling priorities and contributing to Firm tasks. You are comfortable balancing tasks of varying levels of urgency and complexity and work well under pressure with tight deadlines. You proactively anticipate, communicate, and work to independently resolve obstacles encountered in your work. You possess a strong customer-service orientation and ability to work well within a team. Physical Requirements: Prolonged periods sitting at a desk and working on a computer; must be able to lift up to 15 pounds at times. Compensation: An attractive compensation package (tailored to experience), with a target base compensation of $48.08 - $57.00 per hour (nonexempt, 40 hours per week: annualizes to approximately $100,000 – $103,740).
