Job Description
Townsen Memorial Imaging is looking for a Medical Receptionist to join our facility in Bellaire, TX ! Medical Receptionist’s duties encompass many tasks such as greeting patients, scheduling appointments, performing clerical duties, and providing medical procedural support. Exhibits professionalism at all times while answering inquiries and providing information to the general public, visitors, patients, and other interested parties regarding activities conducted at the establishment and location of departments, offices, and employees within the organization. Supports medical staff by completing administrative requirements as assigned. ESSENTIAL FUNCTIONS:
Demonstrates customer service standards (smiles and makes eye contact, greets each patient and visitor, seeks out patient and visitor contact, displays appropriate body language at all times, takes 5 minutes each day to go above and beyond for one patient or visitor, honors diversity, and thanks each customer/patient). Greets patients as they arrive into the facility and provides them with appropriate information. Assists patients to complete all necessary forms and documentation. Ensures completeness and accuracy of patients’ forms and logs all demographics in EMR system. Updates patients’ information into the database. Moves patients through appointments as scheduled. Keeps patient appointments on schedule by notifying the provider of patients’ arrival. Responds and complies with requests for information including sending faxes and e-mails. Answers telephone and deals with inquiries. Transfers calls as required. Directs calls and messages to appropriate medical office staff. Maintains patient accounts by obtaining, recording, and updating personal and financial information into e-clinical. Obtains revenue by recording and updating financial information; recording and collecting patient charges. Calls patients and reminds them of their appointments. Keeps patients’ families informed of patient status. Schedules and reschedules patients’ appointments. Updates appointment calendars. Creates and labels appropriate charts for patients. Manages filing and record-keeping activities; obtains all necessary documents related to the patient chart as needed. Coordinates mail flow in and out of the office. Maintains stock of forms and office supplies. Ensures reception area is well maintained, neat, and clean, including the magazines. Ensures all vendors and visitors are signed in and processed according to facility policy. Performs other related duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology. Knowledge of computer and relevant software applications. Strong computer skills with proficiency in Microsoft Office, including Outlook, Excel, and Word. Strong attention to detail: being careful about detail and thorough in completing work tasks. Ability to maintain composure, keeping emotions in check, controlling anger, and avoiding aggressive behavior, even in difficult situations. High stress tolerance: accepting criticism and dealing calmly and effectively with high-stress situations. Ability to adapt with flexibility: being open to change (positive or negative) and to considerable variety in the workplace. Ability to work independently by guiding oneself with little or no supervision. Ability to maintain effective and organized systems to ensure timely patient flow. Must be able to multi-task while on the job. Must be task-oriented and have organizational skills. Excellent, polished patient interaction skills. Ability to communicate professionally with patients. Exceptional customer service and phone etiquette. Energetic with a desire to learn and develop new skills.
EDUCATION AND EXPERIENCE:
High School Diploma or its equivalent. One (1) year of experience in customer service. Basic Life Support (BLS) Certification.
