Job Description Job Description Responsible for providing secretarial support to Administrator, Business Office Manager, Accounts Payable and other managers as designated; responsible for handling telephone calls and greeting visitors. This position is capped at 20 hours per week. ESSENTIAL FUNCTIONS: The responsibilities of this position enumerated below, involve significant physical activities including standing, lifting (up to 50 pounds unassisted), bending, stooping, pushing, pulling, and twisting. The tasks on this job description marked with an asterisk (*) are those that regularly require these physical activities. 1. Safety *a. Know and implement safety rules. *b. Demonstrate proper use of equipment. Report equipment needs or repairs. c. Ensure adherence to smoking policies. d. Report and document any incidents or accidents involving residents, staff or visitors to the supervisor. e. Perform duties as assigned in Facility Disaster Plan; may include transportation of residents. 2. Abides by established facility and departmental policies including maintaining confidentiality as appropriate. 3. Maintains a friendly, respectful, helpful attitude toward residents, families, staff, corporate staff, volunteers and visitors. 4. Attend inservices and other meetings as directed. 5. Follow facility dress and personal hygiene policies. *6. Greet and direct visitors. 7. Answer telephones; contact personnel as necessary. Take and relay messages. 8. Type letters, memos, minutes, notices, etc., as requested. *9. Sort and distribute mail. 10. Maintain a room list of residents in the facility. 11. Maintain confidentiality of resident information. *12. Photocopy material as requested. *13. File business office material. 14. Address and stamp mailings as requested. 15. Assist with job applications for prospective employees. 16. Participate in Continuous Quality Improvement teams as requested. 17. Perform other duties as assigned and consistent with level of preparation and experience.
QUALIFICATIONS 1. Meet all health requirements imposed by law. 2. High school diploma, college degree preferred. 3. Ability to read, write, speak, and understand English. 4. Ability to perform essential functions of the job with or without reasonable accommodations. 5. Effective communication and interpersonal skills. Ability to relate positively, effectively, and appropriately with corporate staff, visitors, government agencies and the general public. 6. Typing skills of 40 wpm or more. 7. A working knowledge of computer, computer software, calculator, copy machine, type writer, and facsimile. 8. Strong planning and organizational skills to ensure all work is completed in a timely and accurate manner
PHYSICAL REQUIREMENTS: 1. Work requires frequent walking through the facility to and from other departments. 2. Reaching for and handling charts, reports and supplies. 3. Speaking and hearing when receiving instructions and conversing with others. 4. Reading and accurately recording information. 5. Lifting objects up to 50 pounds on an occasional basis.
WORK ENVIRONMENT: 1. Works in office area(s) as well as throughout the facility (i.e. dietary, laundry, nurses’ station, resident rooms, etc.) 2. Is subject to hostile and emotionally upset residents, family members, personnel and visitors. 3. May work beyond normal working hours and on weekends and holidays as deemed necessary and approved by Administrator. 4. May be exposed to effects of odors, dust, disinfectants and other air contaminates. 5. May be subject to exposure to infectious waste, diseases, conditions, etc., including TB and the AIDS and Hepatitis B viruses. 6.
